ACT Tech LLC ("we," "us," or "our") operates Kuee, a clinic management software platform. This Privacy Policy explains how we collect, use, share, and protect information when you use Kuee.
1. Who This Policy Applies To
This Privacy Policy applies to:
- Business Customers — clinics, spas, and other businesses that subscribe to and use Kuee
- Authorized Users — staff members added to a Customer's Kuee account
- End Clients — individuals whose information is entered into Kuee by Business Customers (such as clinic clients and patients)
If you are an End Client whose information has been entered into Kuee by a clinic, your primary privacy relationship is with that clinic. Please contact the clinic directly for questions about how they handle your data.
2. Information We Collect
2.1 Account and Business Information
When you register for Kuee, we collect:
- Business name, contact name, email address, and phone number
- Billing information (processed by Stripe — we do not store full card numbers)
- Business type, location, and other profile information you provide
2.2 Client and Patient Data (Entered by You)
As a Business Customer, you may enter into Kuee information about your clients, including:
- Names, contact information (phone, email, address)
- Appointment history and service records
- Clinical notes and treatment documentation (including SOAP-format notes)
- Package and loyalty points balances
- Intake form responses
You are responsible for the lawful collection and use of this data. ACT Tech LLC processes this data only on your behalf as a data processor.
2.3 Usage and Technical Data
We automatically collect certain technical data when you use Kuee:
- Log data (IP addresses, browser type, pages visited, timestamps)
- Device information (device type, operating system)
- Feature usage patterns (aggregated and anonymized)
2.4 Communications
If you contact our support team, we retain records of those communications to resolve your issue and improve our services.
3. How We Use Information
We use the information we collect to:
- Provide and operate Kuee — process appointments, generate reports, send notifications
- Process payments — through Stripe, Inc.
- Provide customer support — respond to inquiries and resolve issues
- Improve Kuee — analyze aggregated usage patterns to improve features and performance
- Send service communications — account notifications, security alerts, and product updates
- Ensure security — detect and prevent fraud, abuse, and security incidents
- Comply with legal obligations — respond to lawful requests from government authorities
We do not use your data for behavioral advertising, and we do not sell your personal information to third parties.
4. AI Processing and Anonymization
Kuee includes AI-powered features such as SOAP report generation. Before any clinical notes or health-related content is transmitted to AI service providers:
- Personal identifiers (names, contact information) are automatically removed or replaced with anonymous tokens
- AI providers receive only anonymized, de-identified content for processing
- AI providers are contractually prohibited from using your data to train their models
Despite this anonymization process, you should not enter highly sensitive personal information into AI-facing fields beyond what is necessary for clinical documentation.
5. AI Assistant Connections (MCP)
Optional connection and authorization. A Kuee store owner or administrator may choose to authorize an external AI client, such as ChatGPT, to connect to that store through the Model Context Protocol (MCP). Authorization uses OAuth 2.1 and may be revoked at any time. Kuee does not share store data through this connection unless an owner or administrator actively authorizes it; the connection is not enabled by default.
Personal data categories and purposes. In response to an authorized user's requests, the connection may return the following categories of data when needed to complete the requested task:
- Customer identifiers and display names — such as customer IDs and names, to identify the correct person for appointment, package, loyalty, gift card, or communication tasks
- Appointment information — such as dates, times, services, status, and assigned therapists, to schedule and manage appointments
- Store contact information — such as the store phone number, email address, and address, to prepare customer-facing notices and booking instructions
- Staff display, professional, and contact information — such as staff IDs, nicknames or names, roles, titles, specialties, booking availability, and profile contact information, to identify or assign the appropriate therapist or staff member
- Transaction, package, gift card, and loyalty information — such as remaining package sessions, gift card balances, points, and related activity, to answer operational and balance questions
- Limited customer contact and profile information — such as phone number, email address, birth date, language, membership status, or communication preferences, when a purpose-specific tool needs it to locate or manage a customer record, prepare a message, or send an owner-approved notification
Data minimization. In general-purpose database query results, Kuee replaces customer phone numbers, email addresses, birth dates, addresses, and notes with a redaction marker. Intake-form responses, insurance policy and authorization numbers, and AI call transcripts and summaries are also redacted from those results. Internal debugging fields, including failed query text and database error-state codes, are not returned. Purpose-specific tools may return limited customer contact or profile information only when needed for the authorized user's requested workflow, as described above.
Where data goes. Data returned through this connection is sent to the AI client selected and authorized by the store owner or administrator. The AI client's collection, retention, and use of that data are governed by its own privacy policy and practices, which Kuee does not control. Store owners and administrators should review the AI client's privacy policy before authorizing the connection.
Revocation. The store owner or administrator may disconnect Kuee from the AI client through that client's connection settings. Once access is revoked and the token is invalidated, new connector requests are rejected immediately. Revocation stops future requests but does not control data the AI client received before disconnection.
6. How We Share Information
We share information only in the following limited circumstances:

We do not sell, rent, or trade your personal information to any third party for their own marketing purposes.
The sharing described above, including with Notification Service Providers, does not apply to mobile phone numbers or text messaging originator opt-in data and consent. That information is handled only as described in SMS / Text Messaging.
7. SMS / Text Messaging
When an End Client opts in on a Business Customer's booking page or sign-up form, Kuee collects the mobile phone number and a record of that consent, including the timestamp, the consent language presented, and the page where consent was given.
Kuee sends text messages on behalf of the Business Customer only for the messages the End Client agreed to receive: appointment confirmations and reminders, service notifications, and replies to customer inquiries.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
Information sharing to subcontractors in support services, such as customer service, is permitted.
All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
You may opt out at any time by replying STOP to any message. We will send a one-time confirmation, after which you will receive no further messages unless you opt in again. To rejoin, reply START, YES, or UNSTOP to the number you received messages from, or opt in again through the store's website or online scheduling form.

8. Data Retention

9. Data Security
We implement reasonable administrative, technical, and physical safeguards to protect your information, including:
- Encryption in transit — all data transmitted between your browser and our servers uses TLS encryption
- Encryption at rest — stored data is encrypted using industry-standard methods
- Access controls — role-based access controls limit who can access different types of data
- Regular security practices — ongoing security monitoring and regular review of access controls
No security system is impenetrable. In the event of a data breach that affects your information, we will notify you in accordance with applicable law.
10. Your Rights and Choices
All Users
- Access and correction — you may access and update your account information at any time through the Kuee settings
- Data export — you may export your Customer Data at any time through the Kuee dashboard
- Account deletion — you may request account deletion by contacting admin@kuee.io
California Residents (CCPA/CPRA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act:
- Right to Know — you may request information about the categories and specific pieces of personal information we have collected about you
- Right to Delete — you may request deletion of your personal information, subject to certain exceptions
- Right to Opt-Out of Sale — we do not sell personal information, so this right does not apply
- Right to Non-Discrimination — we will not discriminate against you for exercising your CCPA rights

We use cookies and similar technologies as described in our Cookie Policy.
12. Children's Privacy
Kuee is a business software platform intended for use by adults operating professional businesses. We do not knowingly collect personal information from individuals under the age of 18. If you become aware that a minor has provided us with personal information, please contact us at admin@kuee.io.
13. Third-Party Links and Services
Kuee may contain links to or integrations with third-party websites and services. This Privacy Policy does not apply to those third parties. We encourage you to review the privacy policies of any third-party services you use.
14. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page with a new effective date, and by sending notice via email or in-app notification at least 30 days before the changes take effect. Your continued use of Kuee after the effective date constitutes acceptance of the updated policy.
