A client booked Saturday at 2 and now has to work. Until today, Reschedule on her booking only took her to book again, so she held two times and got reminders for both. In Kuee 4.47 Reschedule really moves the booking: she picks a new time, the old one is cancelled in the same step, and she gets one confirmation text. You decide how close to the start time clients can still change.
The same release lets your Kuee phone number ring the store instead of the AI, shows two prices on your public page, and puts a row of sort buttons above the By staff calendar.
Clients can reschedule their own bookings online
A client who booked online can open her bookings on your booking page and tap Reschedule. She sees her current time, picks a new date and time, and confirms. Kuee books the new time and cancels the old one together, so she never holds two times, and the reminder for the old time is withdrawn. She gets a text with the new time.
Only the time changes. The service, length and therapist stay the same. If the price at the new time is different, the confirm screen says Price will change to … before she confirms.
How to set it up
It is on for every store, with a 24-hour window. To change it:
- Open System Settings → Store & Operations → Store Settings and find Booking changes.
- Let customers reschedule or cancel online turns the whole thing on or off.
- Closed within N hours of the start time sets the window: 2, 4, 12, 24 or 48 hours. The same window applies to Cancel.
Below the window you see the message clients get, for example: “Changes and cancellations are closed within 24 hours of the start time. Please call the store.” Owners and admins can change these settings.
What clients see
- Inside the window, Reschedule and Cancel are greyed out with that message and your store phone number.
- Bookings your front desk created cannot be changed online. The client is asked to call the store.
- Group bookings and bookings with more than one therapist also go through the store.
- If someone takes the new time a moment earlier, the client is told the time was just taken and her original booking stays as it was.
Getting the most out of it
- Keep 24 hours if you fill late gaps from a waitlist; a shorter window gives clients more freedom but less time to refill.
- Turn it off if your store prefers every change by phone.
- In the appointment's change history, a move made this way shows as Customer rescheduled online.
Let your Kuee number ring the store
Some stores want people to answer during busy hours, or while they set up the AI. Before, the choice was AI answers or nothing. Now each Kuee AI number can forward calls to the store.
How to set it up
- Open System Settings → Communications → AI Phone and open your number.
- Under AI Call Answering, pick Forward to the store.
- Confirm Forward calls to the store? Calls now ring the store number, and callers see your Kuee number.
Kuee rings the Transfer Number on that page. If it is empty, Kuee uses the store phone from your store info. Forwarded calls do not use AI minutes. To go back, pick AI answers and confirm Use AI answers. The call log marks these calls Forwarded to store, and the number shows Forwarding to store.
Good to know
- If your store phone forwards calls back to the Kuee number, forwarding fails. Turn off call forwarding on the store phone first.
- A few numbers cannot forward yet. Their option says This number can't forward calls to the store yet; contact us and we will switch it.
Sort and arrange staff on the calendar
On the Appointment page in By staff view, sorting is no longer hidden in a menu. A row of buttons sits above the table: Custom, Least booked, Most booked, Free now, Shift start and Name, with Hide off today on the right.
- Least booked puts the therapist with the fewest booked minutes today first, so walk-ins go to whoever needs the work.
- Free now sorts by who is free soonest and shows Free or Free 3:30 PM next to each name. It works only when you look at today.
Change the order by hand
Every staff row has a drag handle and up and down arrows. Drag a row, or tap the arrows. Kuee switches to Custom and saves the order for the whole store: Staff order saved, Applies to the whole store, including the iPad. The message has an undo button. On a touch screen, drag by the handle so scrolling still works.
More new features
Book by phone number only
A caller gives a phone number and hangs up before you get a name. You can now book with just the 10-digit phone number. Kuee saves the client as Guest 6129 (the last four digits) and the booking shows Name pending. If the number already belongs to a client, Kuee asks you to pick that client instead.
When the guest arrives and checks in on the kiosk, the screen asks Is your phone number ending in 6129?, then Please enter your name and birthday. The profile updates itself, and booking texts greet the guest without the placeholder name.
Two prices on your public page
If you charge a cash and a card price, or a regular and a VIP price, your public page can show both. Open About This Store → Edit public page content and find Two price tiers. Turn on Show two price tiers, then choose Where the second price comes from: Use the second price set on each service, or Same difference for all services (for example, card is higher by $3). The names follow your price naming. A preview shows how it looks. This only changes what the public page and online booking show, not checkout. If cash discount is on in payment settings, the page already shows both prices and you do not need this.
Therapists can extend time on the claim board
On the Therapist Claim Board, a therapist's running job now has Extend. The therapist picks the new length and Kuee checks the next client and the room first. The owner, admins and front desk get a notice, and checkout uses the new length. The therapist can undo within 5 minutes. On a couples or four-hand service, extending one therapist extends both, and the front desk can now extend these jobs too.
One profile per phone number when you add a client while booking
When you add a new client inside the booking dialog and type a phone number that already belongs to a client, Kuee says This phone already belongs to Amy and offers Use Amy. If several clients share the number, you Select the right one or choose Create … anyway.
Coupons for certain services, with a total limit
When you create or edit a coupon campaign in Marketing Assistant, you can now pick Eligible services (none selected means all services) and set a Total issue limit. After the limit, no new codes are issued; codes already sent still work.
See what's new from the update message
When Kuee updates, the message now has See what's new in 4.47, which opens these notes. Announcements on the home page can be clicked when they link somewhere.
Smaller improvements
- Therapists are clocked out at 11:59 PM. A job nobody ended no longer runs past midnight and shows up as hundreds of hours overdue on the claim board. Kuee ends it at 11:59 PM store time, the same way as tapping end. Checkout is still up to the front desk.
- One editor for coupon and gift card auto rules. Both work the same way now. Win-back accepts 30 to 365 days for both, and a holiday rule needs a month and day before you can turn it on.
- Change history shows where a change came from, for example Edited on iPad, AI phone or Customer rescheduled online.
Fixes you may notice
- Choosing a month in a date picker on the 29th, 30th or 31st skipped a month. It now goes to the month you pick.
- Group bookings at the kiosk. Guests in a group booking could not check themselves in with the booker's phone number. Now they can.
- Coupons for certain services were sometimes not accepted at checkout for a service they covered. They are now.
- Coupon auto rules no longer issue codes from a campaign that has expired or been archived.
- Revenue under Accrual Basis counted tips and add-on services twice for each checkout. New checkouts count them once. Checkouts made before this update are not changed by it.
- Fiserv receipts now show the subtotal and tip when the tip was entered before the card was tapped.
- Security improvements.
On the iPad in the next app update
- A new checkout counter: the list of tickets on the left, the open ticket on the right. You can change the therapist or service and add items while checking out.
- Cash tips: the tip box takes decimals, and Add cash tip on the result screen records a tip after checkout. A cash tip taken at the desk is no longer charged again on the card reader. Each card in a split payment prints its own receipt.
- Book next visit sits right below the upcoming appointments on the result screen.
- Staff sorting and drag to reorder on the staff board, shared with the web.
- Book by phone number only, and the last name is optional.
- One profile per phone number when you add a client, on its own or while booking.
- Everything listed for the iPad in the 4.46 update: typed start times, the usage card, Void & redo checkout and "Amy's guest".
