1Find a customer

All of your customers are under "Customers" in the sidebar of the front-desk iPad. The number under the title is how many customers the store has. Each row is one customer: phone, last visit and last service, with total spent on the right. VIP customers have a badge next to their name. Type a name or phone number in the search box and the list narrows right away. There are four filters: "All", VIP, "Active Package" and "Inactive 30d". For follow-ups, tap "Inactive 30d" to find customers who have not come in for a month; their rows turn orange.

2Add a customer

For a new guest, tap "New Customer" at the top right. First name, last name and phone are all required, and the phone needs at least seven digits. "Save" stays gray until they are filled in. Tap "Save" and the iPad opens the new customer's profile. Email, birthday and the rest can be added later.

3Profile and notes

The top of the profile shows the name, phone and age. Below are five tabs: basic info, upcoming, transactions, packages and visit history. "Basic Info" has personal details and notes on the left, and the membership status plus first and last visit dates on the right. To update details or note a preference, tap "Edit" at the top right, then "Save". To see the intake forms this guest has filled in, tap "View Intake" at the bottom.

Stores, clients and amounts in the tutorials are demo data. Some features need a particular plan or must be turned on for your store; the tutorial says so when it comes up. Didn’t find an answer? See the FAQ · contact us

4Make a customer VIP

The membership status is in this panel on the right. Only the owner and admins can change it; front-desk accounts see the buttons grayed out. Tap VIP to open the enrollment sheet. Pick a term, for example one year, and the expiry date appears below. Auto-renew needs a saved card and the guest's consent. Without auto-renew, just tap "Confirm". A VIP badge appears next to the name, and the status shows the expiry date and days left. Member prices and balance rules are set under Membership settings in the web dashboard.

5Upcoming, spending and visits

"Upcoming" groups visits into this week and later, and shows whether each one is confirmed and whether the reminder has gone out. Tap "Reschedule" to go back to the appointment calendar on that day, with this appointment selected, and reschedule it there. To cancel, tap the × on the right, then "Confirm". The appointment is cancelled, the list updates right away, and its scheduled reminder is withdrawn. "Transactions" lists every purchase by this guest, for this month, the last three months or all time. Visits paid with a package show $0. "Visit History" sums up the past year: which therapist they see most, how often they come, and how often they cancel.

6Packages

"Packages" sums up the remaining value and remaining sessions across all of this guest's packages. Each card shows the sessions left, the price per session and the expiry date. You can filter by active, expiring or used up. Choosing "Use package" at checkout takes one session from here. To sell a new package, tap "Buy Package"; the payment steps are in the iPad front-desk checkout tutorial.

7Messages: unknown numbers

"Messages" in the sidebar is the store's text inbox. It appears once the store has texting turned on, and therapists cannot see it. This text came from an unknown number. The panel on the right says "This number is not a customer yet". Tap "New customer". The number is already filled in. Add a first name and save; the last name is optional. After saving, the conversation shows the guest's name, and a "Customer profile" button opens the new profile. When replying, the quick bar can insert open slots, the booking link or the store address. Texts are sent from the store number.
