1Pre-authorize at check-in

If your store takes cards through Fiserv and has check-in pre-authorization turned on, the guest can tap a card once on arrival to put a hold on the amount, and you settle after the service. Click Sarah’s appointment, then Check In & Start. This one has no room yet, so the full check-in window opens; pick a room first. The right-hand column is Pay upfront · Pre-auth. Turn on Pre-authorize at check-in. Service Amount is $80. Pre-auth Amount is $96, which is 20% more than the service, leaving room for a tip. Pick the reader below; it shows Online. A pre-authorization only holds the amount; nothing is charged. After the service you settle the real total, service plus tip, once, and the guest doesn’t tap a second time. To do this at every check-in, tick Set as store check-in default. From then on, when the room and service are both set, clicking Check In & Start pre-authorizes straight away, with no window. Click Check in & authorize $96.00 and turn the reader toward the guest; they can insert, tap or swipe. The reader doesn’t ask for a tip at this point. Once the reader approves, the appointment moves to In service, and the hold is already on the guest’s card.

2Checkout: complete the pre-auth

The service is done. Click Sarah’s appointment, then Checkout. Under Payment Method there is no cash or card to pick, only a locked Complete pre-authorization (no card swipe). The guest doesn’t tap again. Pre-auth Amount above is what the gateway actually froze. This store charges a 3% surcharge, so it’s $98.88, a little above the $96 from check-in. If the card issuer approved only part of it, a Partially approved tag shows up here.

Tip: entered at the desk, on the card

Stores, clients and amounts in the tutorials are demo data. Some features need a particular plan or must be turned on for your store; the tutorial says so when it comes up. Didn’t find an answer? See the FAQ · contact us

In the tip section, Guest picks on the reader is greyed out. The card was pre-authorized at check-in and there’s no tap at checkout, so the front desk enters the tip. Type 15 dollars in Entered by front desk. The note says Added to the card charge: the tip is charged to the card together with the service, not taken in cash. The amount due is still $80, and the total on the button becomes $95.00: service plus tip.

4The estimated surcharge line

If the store charges a card surcharge, a line with the estimated surcharge sits between the payment method and the button: 3%, $2.40. The surcharge is worked out on the $80 service only. The tip isn’t charged it, debit cards aren’t either, and the final charge decides. Note that the $95.00 on the button doesn’t include the surcharge. The guest’s card is actually charged $97.40, within the $98.88 hold.

5Totals above the hold still go through

If the guest tips more, change the tip to 20 dollars. The total is $100.00, above the $98.88 that was frozen. That’s fine. The method is still Complete pre-authorization (no card swipe). The guest doesn’t tap again, and the gateway accepts it as usual. Click Complete settlement $100.00. The success screen shows the amount actually charged, $102.40: $80 for the service, $20 tip and $2.40 surcharge. The reader prints the receipt by itself.

6Credits cover the bill: void the pre-auth

One more case: this guest has a gift card that covers the whole bill, so the card isn’t needed. Click + Discount · coupon · gift card and choose Gift card. Enter the card number and PIN, then click Validate card. The amount to apply fills in as $80 by itself, covering the whole bill. The amount due becomes $0.00. The method turns into Void pre-authorization (VOID · no card charge), the surcharge line disappears, and the button reads Complete settlement $0.00. Click the button. The success screen says Pre-authorization voided and No charge. The hold is released and nothing was charged to the guest’s card. That covers pre-authorization: hold at check-in, settle at checkout, tips entered at the desk, a total above the hold still goes through, and a bill covered by credits is voided.
