1Today at a glance

This part covers appointments on the front-desk iPad: reading today, booking, rescheduling, confirming, callbacks and cancelling. The app opens on today's timeline. Time runs top to bottom, each card is one guest, and the card shows the service and therapist. Colors and corner marks show where each booking is at. A faded card with a clock corner is not confirmed yet. If you forget, tap "Legend". On the right is Today Overview: how many bookings, how many checked in, how many still to arrive, grouped into arriving, in store and completed. Whatever you are doing, tap "Appointments" in the sidebar to come back to this default view.

2By staff: drag to reassign

To see what each therapist has today, tap "By staff" at the top right. One row per person, with time running left to right. The first row holds bookings with no therapist yet; one guest is waiting here. Long-press the card, drag it to Ben Wu's row, and let go. A dialog shows the new time and therapist; confirm to save. A notice appears at the bottom, and if it was a mistake, tap "Undo" right away. If you drop it on someone who does not do that service, or who is off shift, Kuee blocks it or warns you.

3Book a new appointment

When a guest calls to book, tap "New Appt" in the sidebar. You can also tap an empty slot on the timeline, and the time is filled in for you. Type the phone number first. Returning guests show up right away; tap to pick them, no need to type the name. If the guest will not give details, turn on "Quick Booking" to hold the slot, and fill in the rest later from the details. Next, add the service and therapist; you can add several. Then pick the date and time. The time list marks who is off shift and how many bookings each slot already has. Tap "Create", check the summary once more, and tap "Confirm and create". If the time clashes, you are warned at this step.

Stores, clients and amounts in the tutorials are demo data. Some features need a particular plan or must be turned on for your store; the tutorial says so when it comes up. Didn’t find an answer? See the FAQ · contact us

4Details and changing the time

Tap any card to open the details on the right: guest, service, room, time and notes, with the available actions below. To change only the time, the fastest way is to drag: long-press the card, drag it up half an hour, and let go. The dialog shows the old and new times. Tap Confirm; Cancel puts it back. To change the service, the therapist or the day, tap "Update booking". It opens the same booking form; edit and save.

5Confirming bookings

When bookings are unconfirmed, a strip above the timeline says how many. Tap "Handle". Each booking is listed on the right. Once you have checked with the guest, tap "Confirm". The guest gets a confirmation message. One marked "Therapist declined" means the therapist turned it down in their own app. It cannot be confirmed as is; tap "Reschedule / reassign" to change the person or the time.

6Callbacks

When a guest calls the AI phone and asks the store to call back, a request appears under "Callbacks" in the sidebar. Overdue ones turn red. Open it. Each one shows what the guest wants and their number. Tap "Call" to open the dialer. When you come back to Kuee after the call, it asks how it went. If your iPad cannot make calls, use the store phone, then tap "Log outcome". If you booked her, choose "Booked" and link her appointment or create a new one. No answer keeps it on the list; choose "Not needed" when it no longer needs a call.

7Cancellations and no-shows

If the guest is not coming, open the booking details and tap "Cancel". A reason is required. It is kept internally and never shown to the guest. Tap "Confirm cancel"; the card turns grey and the slot opens up. If the guest simply did not show up, use "Mark no-show". If the store charges a no-show fee and the guest has a saved card, the fee is charged to that card when you confirm. Neither can be undone, so check which booking it is before you tap.

8Calendar: day, week, month

To look at other days, tap the calendar icon next to the date in the top bar. You can view by day, week or month. The month view shows how many bookings each day has, so busy and quiet days stand out. Tap a day, and the right side shows that day's numbers and a preview of its bookings. Tap "View timeline" to jump to that day's timeline. Check-in, starting service and checkout are covered in the next two parts.
