1Open Order Management

Order Management is under Operations in the sidebar. Every checkout creates an order here. The list shows one day at a time: use the arrows for the previous or next day, or click the date to pick one. Click Export to download that day's orders as a CSV file, using the current search and filters.

2Stats, search and filters

The four cards show the day's orders, customers, total revenue and average order, compared with the same day last week. The chips below filter by status. In the search box, type an order number, customer name or phone, then press Enter to search. More filters adds payment status, payment method, collection, amount range and therapist.

3Pending collection

Orders written by auto checkout start as Pending collection and stay out of revenue until someone confirms the money came in. Tick the orders, click Confirm collected (batch), and choose how the money came in: cash, another POS card, or on account. Once confirmed, both orders turn Completed and their amounts count toward the day's revenue.

4Order details

Click Details on a row to open the order. On the left are the customer and the appointment, each with a link. On the right are the service details and payment info. For card orders you can view the receipt or email it to the customer.

Stores, clients and amounts in the tutorials are demo data. Some features need a particular plan or must be turned on for your store; the tutorial says so when it comes up. Didn’t find an answer? See the FAQ · contact us

5Refund an order

To refund, click Refund at the top right. The front desk can do this too; no manager PIN is needed. It defaults to a full refund, with Customer cancelled as the reason. On a full refund, the points, package sessions or gift card to give back are listed below. You can also refund part of it, say thirty dollars. Partial refunds are by amount only, not by service, and they don't give back points or package sessions. Pick a reason and click Confirm Refund. Money paid by card goes back to the customer's original card. After a partial refund the order shows Partially refunded, and the payment info adds the refund amount and what is still refundable. To refund more, click Refund again. The dialog shows what was already refunded and fills in the remaining eighty dollars. You can refund in several steps; only when everything is refunded does the order turn Refunded.

6Special cases

A few cases need care. Refunding a cash order only records it in the system; the front desk hands the cash back. For Fiserv card payments, before the day's settlement you can only void the whole order; partial refunds wait until after settlement, usually the next day. For an order that sold or reloaded a gift card, the amount comes back off the card first, and anything already spent is not refunded. These orders can be refunded only once. Orders paid with member balance can't be refunded here, and the order page has no void button. To undo a whole checkout, use Repay / Refund in the appointment details; the order then disappears from the list.

7Wrap-up

Back on the list, the Refunds chip shows the day's orders with any refund, full or partial. A partly refunded order still counts as completed and shows Partially refunded. Amounts in the list are net of refunds. For a date range or card fees, owners can use the Transactions page, or the Payouts tab here. That’s it for orders and refunds. Whenever you're stuck, click Help & tutorials in the sidebar, type your question, and the matching chapter opens right there. Thanks for watching!
