1Where gift cards live

Gift cards live in Marketing Assistant: click Marketing Assistant in the sidebar, then the Gift Cards tab. There is no separate gift card menu. The four numbers on top: Outstanding balance is money still sitting on customers’ cards, then active cards, cards issued in the last 30 days, and total redeemed. Top right are the everyday actions: templates, bulk issue, sell card and quick issue. Below are recently issued cards and active templates. Owners and the front desk can both use it.

2Create a template: pay X get Y

Start with a template; it sets the card face, price and rules. Click Templates, then New template. Enter a name and choose Pay X get Y: the customer pays $90 and the card holds $100. The preview on the right updates as you go. We suggest keeping Never expires. If you set days instead, the US CARD Act requires at least 1825 days, which is five years. Pick a color and save.

3Sell a card at the front desk

When a customer wants to buy one, click Sell card. It starts on Sell (charge). Pick the template you just made, then find the customer by phone. Send gift card on the customer page opens this same window. The footer does the math: card balance $100, customer pays $90, bonus $10. Click Next to collect payment by card, cash or another method. Once paid, the card number appears. Click Tap to reveal PIN: the PIN shows only this once and can never be looked up again, so give it to the customer right away. The system also texts and emails the customer the card number, PIN and a personal link with a QR code. The buyer is the card holder; there is no delivery choice when selling in store.

Stores, clients and amounts in the tutorials are demo data. Some features need a particular plan or must be turned on for your store; the tutorial says so when it comes up. Didn’t find an answer? See the FAQ · contact us

4Gifts and bulk issue

To give cards away, use Quick Issue: no template, just an amount. It defaults to gift, and you can pick several customers, one card each. To send the same card to a group, use Bulk issue and choose To customers: pick a template, tick the customers, and the review step shows an SMS preview. Up to 500 at a time. The other option, Print a batch, makes up to 200 cards with no customer attached. Printed cards have a zero balance: until they are sold and activated, the number and PIN cannot be used at checkout or redeemed. Numbers and PINs show only once, so download or print them right away.

5Manage a card and refunds

Click View all to see every card issued. Search by the last four digits or filter by status, then click View to open one. The detail page shows the balance, total loaded and spent, plus the linked customers and every activity on the card. Reload uses the same payment flow. If a customer reports the card lost, click Freeze and pick a reason: the balance is kept and you can unfreeze any time. Under More: adjust the balance, extend the expiry, reissue the QR code, or refund. Refund cash voids the card and records a cash refund; it does not reverse the original card payment. Back to card undoes a purchase and restores the balance, up to the amount already spent. This card hasn't been used yet, so the limit here is zero.

6Customers buy online

Once the store accepts online payments, customers can buy cards themselves on the gift card page of your store website. That page is in English only. The customer picks a card, chooses text under Send to, enters the recipient’s name and phone, then their own contact details, and pays. The card number, PIN and a sign-in-free link go straight to the recipient; the buyer gets a confirmation without the PIN. If no recipient is entered, the recipient is the buyer, or the recipient’s contact is invalid or the message fails, the number and PIN go to the buyer instead. The link in the recipient’s text shows the balance and the card’s QR code for the front desk to scan at checkout. The balance can also be checked on the website with the number and PIN.

7Paying with a card, and wrap-up

Show QR code on the detail page shows the same code. At checkout, scan it under Gift card or type the number and PIN; the Checkout tutorial shows the steps. You can’t sell cards inside checkout; sell them from Marketing Assistant or the customer page. That covers gift cards: templates, selling, gifting and bulk issue, managing and refunding, and customers buying online. Next up: orders and refunds.
